In accordance with Republic Act No. 10173 (Data Privacy Act of 2012), information collected through this system is used strictly for legitimate school purposes and is handled only as needed for the school's gate pass, identification, safety, security, and authorized communication processes.
1. Information We Collect
The registration form may collect student and parent/guardian information needed to create and manage a student gate pass record, including the student's name, student ID, grade and section, contact information, parent/guardian email address, dismissal arrangement, authorized gate information, and the student's submitted photograph.
2. How We Use Information
Information is used strictly for school purposes, including student identification, gate pass administration, exit verification, safety and security procedures, and authorized communication with parents or guardians regarding school gate pass matters.
3. Photographs and Verification Data
Student photographs may be stored for identification and gate pass purposes. Where the system uses biometric face verification, it may process a mathematical face descriptor for identity verification. Such processing is limited to the school's authorized gate verification function.
4. Disclosure and Access
Access to information is limited to authorized school personnel and service providers used to operate the system, subject to applicable school policies and privacy requirements. Information is not intended for unrelated commercial use.
5. General Contact Form and Optional Analytics
When the general contact form is available and used, the name, email address, selected topic, and message provided are sent to the designated school contact inbox so the school can respond. Do not submit student IDs, medical information, passwords, or other sensitive student or family details through this general form. The school should retain messages only as long as needed to respond and meet its administrative obligations.
Google Analytics is not loaded on the faculty dashboard or gate-pass application forms. If the school configures Analytics on the public information page, the page will ask for permission before loading it. Choosing “Essential only” prevents optional analytics from loading. You can change that choice using “Privacy settings” in the page footer when the option is available.
6. Data Retention and Security
Information is retained only as necessary for legitimate school operations, recordkeeping, safety, and applicable requirements. Reasonable administrative, technical, and organizational safeguards are used to protect information.

Questions or requests concerning personal information collected through this service may be directed to the appropriate school administration or privacy contact.
8. Policy Updates
This public policy may be updated when the school's e-Gatepass processes, technology, or privacy practices change. The current version will be made available through this page.
